GENERAL TERMS AND CONDITIONS

Welcome to Tour Planning Albania. These General Terms and Conditions govern the contractual relationship between
Tour Planning Albania and the Client, in accordance with applicable Albanian legislation, including Law No. 93/2015
“On Tourism” (as amended), Law No. 30/2024, Law No. 9887 on Personal Data Protection, and the Civil Code of the
Republic of Albania.

  1. OPERATOR INFORMATION
    This service is provided by:

  • Tourism License: LN-0271-09-2025 (Category XIII.1.B – Tour Operator)
  • Address: District No. 1, Property No. 11/188, Cadastral Zone 8641, Saranda, Albania
    Tour Planning Albania operates as:
  • A boutique tour operator; and
  • An intermediary for third-party tourism service providers, including accommodation, transport, ferry services,
    guides, and activities.
  1. NATURE OF SERVICES
    Tour Planning Albania provides customized travel services in Albania and selected international destinations,
    including but not limited to:
  • Private and group tours
  • Multi-day travel packages
  • Daily excursions
  • Accommodation arrangements
  • Transport and transfers
  • Ferry coordination
  • Licensed guide services
  • Tailor-made experiences
    All services are customized based on client requirements, availability, seasonality, supplier confirmation, weather
    conditions, and operational feasibility.
  1. BOOKING PROCESS & CONTRACT FORMATION
    A booking becomes legally binding only upon:
  • Written confirmation from Tour Planning Albania; and
  • Receipt of the required deposit or full payment
    Accepted communication methods include email, Whats App, and other messaging platforms.
    Upon confirmation:
  • The booking becomes binding
  • Cancellation terms apply
  • Final travel details are issued after full payment
    The Operator reserves the right to correct obvious errors in pricing or information. In such cases, the Client may
    accept the corrected terms or cancel with a full refund of amounts paid.
  1. PAYMENT TERMS
    Accepted payment methods:
  • Bank transfer
  • Credit/debit card
  • Online payment systems
  • Cash (where applicable)
    Payment structure:
  • 30% deposit upon confirmation
  • Balance due 14 days prior to departure (unless otherwise agreed)
  • Large groups or peak season bookings may require earlier or full payment
    Additional conditions:
  • Bank and transfer fees are borne by the Client
  • Card payments may include a non-refundable processing fee (3.5%–5%)
  • Failure to complete payment on time may result in cancellation without liability
  1. PRICING
    All prices are quoted in Euros (€).
    Prices depend on:
  • Seasonality
  • Group size
  • Supplier rates
  • Exchange rates
  • Fuel and operational costs
  • Taxes and fees
    Final pricing is confirmed at the time of booking confirmation.
  1. THIRD-PARTY SERVICES
    Tour Planning Albania collaborates with independent third-party providers, including hotels, transport companies,
    restaurants, ferry operators, guides, and activity providers.
    The Operator is not responsible for:
  • Delays or cancellations
  • Overbooking
  • Service quality variations
  • Supplier operational decisions
  • Weather-related disruptions
  • Transport interruptions
    Each third-party provider applies its own terms and conditions.
  1. SERVICE STANDARDS & ACCOMMODATION
    The Operator strives to provide high-quality boutique travel experiences. However:
  • Accommodation and service standards may vary by location and season
  • Images may not always reflect exact conditions
  • Availability depends on operational factors
    All services are provided within the agreed budget and confirmed arrangements.
  1. GUIDES & STAFF
  • Licensed guides are provided when required
  • Language availability cannot be guaranteed in all cases
  • Guides or staff may be replaced due to operational needs
  1. CLIENT RESPONSIBILITIES
    The Client is responsible for:
  • Providing accurate personal information
  • Holding valid travel documents (passport, visa, ID)
  • Timely arrival for scheduled services
  • Compliance with applicable laws and regulations
  • Following safety instructions provided by staff
    The Client must inform the Operator in advance of:
  • Medical conditions
  • Allergies or dietary requirements
  • Disabilities or special assistance needs
  • Pregnancy (if relevant to activities)
    Minors traveling alone must provide written parental or legal guardian consent.
    The Operator reserves the right to refuse service where legal or safety requirements are not met.
  1. HEALTH, SAFETY & CONDUCT
    Certain activities may involve inherent risks, including hiking, swimming, boating, and outdoor excursions.
    Participation is at the Client’s own responsibility unless negligence is proven.
    Prohibited conduct includes:
  • Illegal activity or substance use
  • Aggressive or abusive behavior
  • Dangerous or disruptive actions
  • Violation of safety rules or local regulations
  • Excessive alcohol consumption during transport or activities
    The Operator reserves the right to terminate services without refund in cases of misconduct.
  1. CANCELLATION & REFUND POLICY
    Multi-day packages:
  • 21+ days before departure: full refund minus applicable fees
  • 11–20 days: 50% cancellation fee
  • 0–10 days: non-refundable
  • No-show: non-refundable
    Day tours:
  • Free cancellation 24+ hours before service
  • Less than 24 hours: non-refundable
    Non-refundable items include:
  • Flights
  • Ferry tickets
  • Event tickets
  • Prepaid third-party services
    Refunds are processed after deduction of bank fees, payment charges, and supplier penalties.
  1. CHANGES BY THE OPERATOR
    The Operator may adjust itineraries or services due to:
  • Weather conditions
  • Supplier availability
  • Safety considerations
  • Operational requirements
    Changes may include accommodation substitution of equal or higher standard, schedule adjustments, or activity
    replacements.
    If a service is canceled by the Operator (excluding force majeure), a full refund will be provided.
  1. MINIMUM PARTICIPATION
    Certain tours require a minimum number of participants. If not met, the Client will be offered:
  • A full refund
  • An alternative arrangement
  • A rescheduled date
  1. REBOOKING
    Reactivated or rescheduled bookings may be subject to:
  • A rebooking fee (20%–30%)
  • Price adjustments based on availability and season
  1. LIABILITY
    The Operator is not liable for:
  • Third-party service failures
  • Delays or interruptions
  • Weather conditions
  • Border or entry refusals
  • Force majeure events
    Indirect damages such as loss of profit, emotional distress, or missed connections are excluded to the extent permitted
    by law.
  1. BAGGAGE & PERSONAL BELONGINGS
    The Operator is not responsible for:
  • Loss or theft of personal belongings
  • Damage to luggage or valuables
  • Forgotten items
    Clients remain fully responsible for their personal belongings at all times.
  1. INSURANCE
    Clients are strongly advised to obtain comprehensive travel insurance covering:
  • Medical emergencies
  • Trip cancellation
  • Baggage loss
  • Accidents
    The Operator maintains professional liability insurance as required by law.
  1. FORCE MAJEURE
    The Operator is not responsible for delays or cancellations caused by events beyond reasonable control, including but
    not limited to:
  • Natural disasters
  • War or civil unrest
  • Pandemics
  • Strikes
  • Government restrictions
  • Severe weather conditions
    Services may be modified or canceled accordingly.
  1. COMPLAINTS
    Any issues should be reported immediately during the service. Formal complaints must be submitted within 10 days
    of service completion.
  2. PRIVACY & DATA PROTECTION
    Personal data is processed solely for:
  • Booking management
  • Service delivery
  • Legal compliance
    Data is handled in accordance with Albanian data protection law and applicable GDPR principles.
  1. INTELLECTUAL PROPERTY
    All content, branding, and materials remain the property of Tour Planning Albania and may not be used without
    authorization.
  2. WEBSITE USE
    Users agree not to:
  • Misuse or disrupt the website
  • Attempt unauthorized access
  • Copy or reproduce content without permission
  • Use the website for unlawful purposes
